Clinical Budget Benchmarking

A six-stage workflow that turns protocols and sponsor proposals into an evidence-backed clinical-trial negotiation package.

My role
Workflow architecture, extraction and mapping design, review UX
System
React, TypeScript, Firebase, document jobs, AI-assisted mapping, benchmark data
The final negotiation package surfaces missing and under-quantified procedures.
01

Six stages

  1. 01

    Extract Protocol

Turn the protocol and Schedule of Assessments into structured procedure requirements.

  2. 02

    Map to MPC

Align extracted procedures with the site's Master Procedure Catalogue.

  3. 03

    Extract Proposal

Convert the sponsor spreadsheet into structured, comparable line items.

  4. 04

    Map Proposal

Connect proposal lines to protocol requirements.

  5. 05

    Benchmark

Compare rates, quantities, and coverage with internal evidence.

  6. 06

    Package

Prepare missing-item and pricing positions for negotiation.

02

Protocol mapping

AI maps extracted protocol procedures to the site's Master Procedure Catalogue, pairing each suggestion with the original protocol language and a clear queue for exceptions.

Protocol procedure mapped to an internal Master Procedure Catalogue entry.
03

Proposal review

Sponsor spreadsheets become structured fees, amounts, currencies, occurrence limits, and notes that can be compared directly with protocol obligations.

Structured review of line items extracted from a sponsor proposal spreadsheet.
04

Negotiation package

The final view identifies procedures missing from the proposal, quantities below the protocol schedule, and pricing positions that need attention.

Each negotiation point carries the protocol evidence and quantity logic needed to defend it.
